This Policy applies to all students, parents, guardians, and website visitors from the moment of first contact. It is to be read alongside the Terms and Conditions at brentwelburn.com/terms-conditions.

  • Contractual necessity: to deliver the lesson services agreed at booking.
  • Legitimate interest: to operate and improve professional tuition services.
  • Legal obligation: to retain records required by applicable law, including safeguarding records

Data Collected & Purpose

The Teacher collects only the minimum personal data necessary to deliver professional English language instruction:

  • Identity & contact: Full name, email address, and WhatsApp number (where provided).
  • Scheduling: Time zone, preferred lesson times, and lesson history.
  • Learning: English proficiency level, goals, exam targets, and progress notes.
  • Technical: IP address and browser data, collected automatically by the website for security and spam prevention.
  • Payment reference: Transaction reference numbers only. No payment card details are stored by the Teacher.
  • Minor students: Parental/guardian name, relationship, contact details, and the signed Consent Form — retained as part of safeguarding obligations.

Data Sharing & Third Parties

The Teacher does not sell, rent, trade, or share personal data with any third party for commercial purposes. This is an absolute and unconditional commitment.

Limited, controlled data processing may occur through the following trusted third-party platforms:

  • Payment processors (e.g. PayPal, Wise, Stripe): Transaction data is subject to each platform’s own privacy policy. The Teacher does not access or store payment card or banking details.
  • Lesson platforms (Zoom, Google Meet): These platforms process session data in accordance with their own privacy policies.
  • Website infrastructure (WordPress, Google Site Kit): Standard website operational data including anonymised analytics.

Data Retention & Security

  • Active student records: Retained for the duration of lessons and 12 months thereafter.
  • Payment reference records: Retained for a minimum of 5 years for financial and tax compliance.
  • Safeguarding records (minor students): Retained for a minimum of 7 years following the end of lessons.
  • Website technical data: Retained for up to 90 days for security monitoring.
  • All personal data is stored in password-protected systems accessible only to the Teacher.
  • No payment card or banking details are manually handled or stored by the Teacher.
  • In the event of a data breach affecting student privacy, affected students will be notified promptly and remedial action taken immediately.

Student Rights Over Personal Data

  • Right of Access: Request a copy of all personal data held by the Teacher.
  • Right to Rectification: Request correction of any inaccurate or incomplete data.

Cookies, Confidentiality & Lesson Privacy

The website uses essential cookies to operate the booking system and remember user preferences. Non-essential analytics cookies (via Google Site Kit) may also be active. By using the website, the Student consents to essential cookies. Non-essential cookies may be declined via browser settings.

All information shared by the Student during lessons — including personal circumstances, progress, and examination results — is treated as strictly confidential. The Teacher will not disclose lesson content or student progress to any third party without the Student’s written consent.

Policy Updates, Contact

This Privacy Policy may be updated periodically to reflect changes in services, legal requirements, or best practice. Students will be notified of any material changes via email at least 14 days before changes take effect. Continued use of the Teacher’s services constitutes acceptance of the updated Policy.
